Desired profile of the candidate
We re looking for an Executive Assistant to the Director to provide high-level administrative and organisational support for the smooth functioning of the Director s office. The ideal candidate should have exceptional communication skills, strong attention to detail, and the ability to manage sensitive information with absolute confidentiality.
Description / Responsibilities (IN DETAIL)
- Manage the Director s calendar efficiently, scheduling meetings and resolving conflicts while keeping track of key deadlines and priorities.
- Act as the main contact for internal and external communication, handling calls, emails, and correspondence professionally.
- Draft, proofread, and format reports, presentations, and other official documents.
- Plan and coordinate domestic and international travel, including flights, accommodation, transport, and meeting schedules.
- Organise meetings with proper agenda preparation, documentation, and accurate minute-taking, ensuring follow-up actions are completed.
- Screen visitors, calls, and correspondence, using discretion to determine what requires the Director s attention.
- Coordinate projects, events, and conferences, ensuring timely communication and task completion with all stakeholders.
- Maintain confidentiality and handle sensitive corporate, personnel, and financial information with discretion.
- Prepare and process expense claims, manage filing systems, and oversee office supplies and administrative tasks for smooth daily operations.
