Role & responsibilities
1. To receive inquiries for quotes and to see that the quotes are prepared on accordance with the time line as decided by the Managing Director which generally tends to be a few days before the external deadline.
2. To prepare a weekly progress report for project.
3. To ensure that every project is insured against risks.
4. To ensure that each and every project has a contract which is signed in time and remains valid
5. To check the actual status of the project versus the original work program, to see that we are on target or to take the necessary action if we are not on target
6. To ensure that dependencies which we are dependents on are clearly communicated to the client and clear dates are obtained for the clearance for each dependency from the contractor or client.
7. To manage the entire procurement process for goods to be imported both by sea and by air and local purchase for goods in Uganda
8. To make sure that the quality checker performs weekly/ twice monthly checks on each project. And that defects are rectified.
9. To make applications for payments in accordance with the contractors schedule.
10. To be responsible for timely collections for payments.
11. To ensure any works that are delaying us caused by other subcontractors are resolved and the communication to be in writing.
12. Ensure that the materials count as per installation on site is made on a weekly basis.
13. To reconcile the goods that the stores have released compared to the materials on site and in site stores.
14. To prepare and make handover reports for each and every project.
15. To market and lobby for projects by visiting the contractors and consultants.
16. To ensure that approvals are given before work commence e.g working drawings to be prepared and any markings to be approved before commencement of works.
17. Reporting aspects of the role. These include, updating all concerned parties at regular interval by proper written communication as to the project status, any requests and any delays you may be facing as a result of another party not completing his works on time.
18. Managing all administrative aspects of the project. This includes preparation of specifications of items to be used for consultants approval, preparation of working drawings, preparing, updating and reviewing work programs, communicating with the consultant and contractor to update them on your progress and any works you are depending on by the contractor which are causing delays to your works, attending site meetings and preparing minutes for submission of the same, making applications for payments, following up on payments and seeing that we are paid on time.
