Job Description

The Executive Assistant for a Family Office plays a pivotal role in providing comprehensive administrative and personal support to the principals, ensuring the smooth and efficient operation of their professional and personal affairs. This position requires an individual with exceptional organizational skills, a high degree of discretion, and the ability to anticipate needs and proactively manage complex schedules and tasks. The ideal candidate will be a highly polished professional with a strong work ethic and a commitment to maintaining confidentiality and privacy.

Key Responsibilities:

  • Manage complex calendars and schedules for principals, including coordinating meetings, appointments, and personal engagements across multiple time zones.
  • Arrange extensive domestic and international travel logistics, including flights, accommodations, ground transportation, and detailed itineraries.
  • Prepare and process expense reports, invoices, and other financial documentation with meticulous accuracy.
  • Handle all incoming and outgoing correspondence, including drafting emails, letters, and other communications on behalf of the principals.
  • Coordinate and liaise with various professional advisors, including legal counsel, financial advisors, tax professionals, and property managers.
  • Plan and execute personal and professional events, dinners, and gatherings, managing all aspects from invitations to vendor coordination.
  • Assist with personal errands and projects, including gift procurement, household staff coordination, and property management oversight.
  • Maintain highly confidential information with the utmost discretion and integrity.
  • Manage and organize digital and physical files, ensuring easy retrieval and compliance with privacy protocols.
  • Act as a primary point of contact for internal and external stakeholders, representing the principals with professionalism and grace.
  • Perform ad-hoc administrative and research tasks as required to support the principals diverse needs.
