Role summary
We are looking for an experienced US Payroll professional who can independently manage payroll for multiple US clients and help OHI build a strong payroll team.
This is not only a payroll-execution role. The selected candidate will be responsible for complex payroll processing, reviews, reconciliations, controls, client communication, team training, and contingency planning. The person will also guide future payroll resources and help develop payroll as a broader service line within OHI.
Key responsibilities
- Manage end-to-end payroll processing for multiple US clients and legal entities.
- Handle weekly, biweekly, semi-monthly and monthly payroll cycles.
- Review time-and-attendance records for hourly and salaried employees.
- Process approved new hires, terminations, pay changes, bonuses, deductions, benefits and other payroll adjustments.
- Review payroll registers and identify missing, incorrect or unusual items.
- Calculate and validate regular pay, overtime, retroactive pay and off-cycle payments.
- Ensure payroll is processed accurately and submitted within client deadlines.
- Manage payroll activities through systems such as Paychex, TriNet or similar US payroll platforms.
- Perform payroll-to-bank, payroll-to-GL, tax, and benefit reconciliations.
- Support federal, state, and local payroll-tax reporting and year-end activities.
- Handle payroll corrections, voids, reversals, amended filings, and tax notices.
- Communicate directly with US clients regarding payroll inputs, approvals, exceptions, and deadlines.
- Prepare and maintain payroll SOPs, calendars, checklists, and process documentation.
- Build review controls and ensure proper segregation of duties.
- Protect confidential employee, banking, and payroll information.
- Build backup and contingency coverage for all critical payroll processes.
- Support new client transitions, pilot phases, and payroll-system migrations.
- Track payroll accuracy, timely completion, client issues, and team performance.
- Remain available during critical payroll days, including Indian holidays when required by the US payroll calendar.
Required experience
- Minimum 5 years of hands-on US payroll experience.
- At least 2 years of payroll team supervision or review experience.
- Experience managing multi-state and multi-entity US payroll.
- Experience handling hourly and salaried employee payroll.
- Strong knowledge of time and attendance, overtime, deductions, garnishments, and payroll taxes.
- Working knowledge of Forms 941, 940, W-2, W-3, 941-X and W-2c.
- Strong payroll reconciliation and variance-analysis experience.
- Direct experience communicating with US clients or stakeholders.
- Advanced Excel and payroll-reporting skills.
- Willingness to work in US hours and provide flexibility on payroll-processing days.
Preferred experience
- Hands-on experience with Paychex, TriNet and Gusto.
- Experience with ADP, Workday, Paylocity or similar payroll systems.
- Experience working in an outsourcing or multi-client environment.
- Experience building or expanding a payroll team.
Education
Bachelors or master’s degree in commerce, Accounting, Finance, Human Resources or a related area.
