Job Description

Key Responsibilities - Manage the MD’s calendar, meetings, and appointments with precision, prioritizing based on urgency and business relevance. - Track all internal and external commitments made by the MD, ensuring follow-ups until closure across teams, clients, and vendors. - Draft, format, and manage emails, reports, presentations, and official documents, ensuring professional communication on behalf of the MD. - Coordinate with internal teams, clients, vendors, and external stakeholders, acting as a central point of contact for all MD-related communication. - Plan and coordinate domestic and international travel, managing bookings, itineraries, and logistics to ensure smooth travel experiences. - Manage hospitality for the MD and visitors, ensuring high standards of professionalism and support for office events and client meetings. - Track and manage expenses incurred on behalf of the MD, coordinating reimbursements and maintaining proper documentation. - Maintain confidential files and documents with high discretion, ensuring sensitive information is handled securely and professionally. Overview - We are seeking a highly dependable Senior Executive Assistant to support the Managing Director in our consulting firm based in Mumbai. - This role is crucial in ensuring the seamless day-to-day functioning of the MD’s office, requiring exceptional organizational skills and a high level of discretion. - The ideal candidate will act as the execution anchor for the MD, ensuring that priorities are tracked, commitments are met, and operations run smoothly. - This position demands a strong service orientation, attention to detail, and the ability to manage multiple tasks efficiently. - Candidates with a background in hospitality who can bring their service mindset to corporate settings will be preferred. - The Senior Executive Assistant will be responsible for managing the MD's calendar, scheduling meetings, and ensuring the MD is well-prepared with necessary briefs and documents. - This role involves significant responsibility in tracking internal and external commitments, maintaining structured task trackers, and ensuring timely follow-ups. - As a central communication point for the MD, the assistant will handle emails, reports, presentations, and official documents, ensuring professional and timely dissemination of information. - The assistant will also manage coordination with internal teams, clients, and vendors, ensuring smooth flow of information and execution of tasks. - The role extends to managing the hospitality needs of the MD and visitors, planning and coordinating travel logistics, and maintaining high standards of professionalism and service experience. - The assistant will also handle expense tracking, administrative tasks, and ensure confidentiality and proper management of records. Requirements - Hospitality Graduate or Diploma in Hotel Management preferred. - Strong follow-up and execution discipline with excellent organizational skills. - Proficiency in MS Office Suite, including Excel, Word, and PowerPoint. - Excellent command of English, both written and spoken, with strong communication skills. - Ability to multitask and work effectively under pressure, demonstrating high levels of integrity and maturity. - Strong interpersonal and coordination skills, with a service-driven mindset and attention to detail.
