Job Summary

We are looking for a detail-oriented Sample Department Executive to manage the preparation, organization, tracking, and dispatch of product samples. The role will coordinate closely with Sales, Design, Projects, and Operations teams to ensure samples are available and delivered on time.

Key Responsibilities

• Manage the complete sample preparation and dispatch process.
• Maintain proper records of samples, stock, and sample movements.
• Coordinate with the Sales and Design teams for sample requirements.
• Prepare samples as per customer/project specifications.
• Ensure samples are properly labelled, packed, and dispatched.
• Track sample requests and ensure timely delivery.
• Maintain sample inventory and identify requirements for replenishment.
• Coordinate with vendors, couriers, and internal teams for sample movement.
• Ensure the sample display area and sample library are properly organized.
• Maintain updated records in Excel/ERP/CRM.
• Follow up on pending sample requests and provide regular status updates.
• Ensure proper handling and presentation of samples to maintain company standards.

Required Skills

• Good coordination and communication skills.
• Strong attention to detail and organizational ability.
• Basic knowledge of MS Excel, Word, and ERP/CRM systems.
• Ability to manage multiple sample requests simultaneously.
• Good follow-up and time-management skills.
• Experience in flooring, interiors, architecture, furniture, tiles, or building materials will be an advantage.

Preferred Candidate

• Graduate / Diploma in any relevant field.
• 2-5 years of experience in sample management, sales coordination, operations, or similar roles.
• Should be proactive, organized, and comfortable working with multiple departments.
