Job Summary

The Sales Backend Support Executive is responsible for providing administrative and operational support to the sales team, ensuring smooth order processing, timely customer communication, accurate documentation, and effective coordination between internal

departments and customers. The role plays a critical part in improving sales efficiency and customer satisfaction.


Key Responsibilities

Sales Support

• Prepare and process quotations, proposals, and tender documents.

• Create and manage sales orders in CRM systems.

• Maintain customer records, sales databases, and documentation.

• Support the sales team with product information, pricing, and order status updates.

Order Management

• Coordinate with production, logistics, and dispatch teams for order fulfilment.

• Track order execution and ensure timely deliveries.

• Monitor pending orders and follow up with concerned departments.

• Maintain dispatch and delivery records.

Customer Coordination

• Handle customer inquiries related to orders, deliveries, and documentation.

• Share order acknowledgments, invoices, and dispatch details with customers.

• Resolve routine customer issues by coordinating with relevant teams.

Reporting & MIS

• Prepare daily, weekly, and monthly sales reports.

• Maintain sales dashboards and performance trackers.

• Generate reports on order status, sales achievements, pipeline, and collections.

• Assist management with data analysis and presentations.

Documentation & Compliance

• Maintain accurate records of contracts, POs, agreements, and correspondence.

• Ensure compliance with company policies and documentation requirements.

• Support audit and reporting requirements.


Required Skills

• Strong communication and coordination skills.

• Excellent knowledge of MS Excel, Word, and PowerPoint.

• Experience with CRM systems.

• Good analytical and reporting skills.

• Strong attention to detail and accuracy.

• Ability to handle multiple tasks and meet deadlines.


Qualifications

• Graduate in Business Administration, Commerce, or related field.

• 02years of experience in sales coordination, sales support, or backend operations.

• Experience in B2B sales support will be preferred.

• Quotation turnaround time.

• Order processing accuracy.

• On-time order execution support.

• Customer response time.

• MIS reporting accuracy and timeliness.

• Data management and documentation compliance.


Preferred for Building Products / Interior Solutions Industry

• Experience in handling specification-based projects.

• Coordination with architects, contractors, dealers, and corporate clients.

• Knowledge of project sales documentation, BOQs, and tender processes.
