Job : Sales Coordinator

Experience : 4-7 years

Location : Bengaluru, HSR Layout


Role & responsibilities

1. Sales Operations & Pipeline Management - Maintain and update the Sales Pipeline Report on a daily basis with

complete accuracy. - Ensure order booking data is recorded and shared within defined timelines. - Track opportunities

from lead stage through order closure and dispatch. - Monitor sales performance metrics and provide timely updates to

management. - Ensure complete visibility of sales orders and customer commitments.

2. Order Processing & SOP Compliance - Ensure all order confirmations strictly follow company SOPs. - Verify

customer Purchase Orders (POs), email confirmations, advance payments, and agreed delivery timelines before order

confirmation. - Coordinate with sales teams to resolve any missing documentation or approvals. - Maintain complete

records of customer orders and related documentation.

3. Order Blocking & Execution Coordination - Block customer orders promptly and accurately in the ERP/system. -

Validate all order requirements before processing to avoid execution delays. - Coordinate with internal departments to

ensure smooth order fulfillment. - Monitor order status from booking through dispatch and delivery.

4. Vendor & Procurement Coordination - Release Purchase Orders to domestic and international vendors within agreed

timelines. - Follow up with vendors on order acknowledgments, production schedules, and delivery commitments. -

Coordinate with procurement and logistics teams to minimize delays. - Escalate supply risks proactively to

management and sales teams.

5. Customer Communication & Delivery Management - Provide accurate delivery updates and order status information

to customers and sales teams. - Address customer queries related to order fulfillment and delivery schedules. - Ensure a

positive customer experience through timely communication and issue resolution. - Support customer relationship

management activities as required.

6. Reporting, MIS & Data Management - Prepare and circulate daily, weekly, and monthly MIS reports. - Maintain

accurate Order Booking Reports, Sales Pipeline Reports, Advance Collection Reports, and Outstanding Reconciliation

Reports. - Ensure all reports are updated, validated, and shared within prescribed timelines. - Generate business

insights and support management reviews with accurate data.

7. Financial Coordination & Reconciliation - Track advance payments and coordinate collection follow-ups. - Maintain

outstanding receivables reports and customer account reconciliations. - Support finance teams in payment tracking and

ledger maintenance. - Ensure data accuracy for revenue recognition and business reporting.

8. Sales Team Support - Provide timely quotations and proposals to customers through coordination with sales

managers. - Share accurate stock availability and lead-time information. - Coordinate with warehouse, procurement,

and logistics teams to support sales requirements. - Ensure prompt resolution of sales support requests.

9. Data Standardization & Process Improvement - Maintain standardized sales databases and reporting formats. -

Regularly update historical sales data and business performance dashboards. - Track key business metrics such as

GMV, Gross Margin %, Order Conversion Rate, and Collection Efficiency. - Identify process gaps and recommend

improvements to enhance operational efficiency. - Support automation and digitalization initiatives within sales

operations.

10. Compliance & Documentation - Maintain complete records of customer correspondence, quotations, contracts, and

order documentation. - Ensure adherence to company policies, sales processes, and audit requirements. - Maintain


Preferred candidate profile

QUALIFICATIONS

- Bachelor's Degree in Business Administration, Commerce, Operations, Supply Chain, or related field. - Additional

certification in Sales Operations, ERP, or Supply Chain Management is preferred.

EXPERIENCE

- 2 to 5 years of experience in Sales Coordination, Sales Operations, Customer Service, Procurement Coordination, or

Business Support functions. - Experience working with ERP/CRM systems and MIS reporting is preferred.
