Job Description
Your Responsibilities:
The QMS Senior Administrator resolves issues that might arise from technical problems or unforeseen organizational bottlenecks, while at the same time ensuring the integrity of the QMS.
In addition, the QMS Administrator supports business transformation initiatives impacting process documentation within the QMS, by updating QMS documents under direction of and in support of the process owners, or defining and documenting quality assurance processes related to these initiatives.
Training employees on document control procedures and the use of the QMS repository system is also part of the role, as is monitoring repository usage and implementing improvements to enhance usability and compliance. The QMS Senior Administrator supports, tracks, and oversees the QMS Change Control processes and administers audit follow-up activities such as monitoring issue closure and reporting KPIs.
The QMS Senior Administrator might act as a deputy for the QMS Manager during absences and is able to take over specific individual tasks of the QMS Manager when needed.
The Essentials - You Will Have:
- Functional (Quality)
o Support authors of QMS documents in initiating the documents within the QMS Sharepoint by helping define the formal requirements of the document (e.g. selecting correct templates, assign appropriate document ID), in reviewing the documents for formal correctness, in editing the document for minor formal corrections, and in routing the documents for approval
o Update suites of QMS documents according to requirements of process owners or the QMS Manager for agreement to changing our requirements, e.g. in the context of business transformation initiatives
o Help authors with general questions related the use of the QMS Sharepoint site
o Maintain the structure of the global LCS QMS
o Update entire QMS SP site (layout, update, links, announcements, etc.) in collaboration with global QCE Manager or global QMS Manager
o Manage the publication of new QMS versions in collaboration with or as a backup to the global QMS Manager.
o Maintain archived QMS versions
o Support the Change Control process throughout the LCS QMS
o Support regional quality leads in driving their local quality programmes
o Providing professional guidance to business and delivery teams, and Quality leads, and in QMS matters
o Supports management teams with the planning and delivery of Quality process documentation
The Essentials - You Will Have:
Business Process Analyst Level 3 min. 5 years experience
o Bachelor of Science degree in Business, Engineering or Quality related
(In absence of an official degree a similar level of knowledge acquired through long-term working experience might be considered as an alternative)
o Prior experience in quality management:
o Excellent traceable knowledge in one or several of the areas related to quality management, document management
o Fluent English language skills (reading & writing)
o Experience in MS Office tools (Word, Excel, PowerPoint, Visio, SharePoint, etc.) and Adobe
o Traceable experience in quality management methods and techniques, like e.g., ISO 9001, Lean Six-Sigma.
