Purchase & Store Manager

We are looking for an experienced and responsible Store & Purchase Manager to manage end-to-end procurement, sourcing, vendor management, inventory control, and store operations. The ideal candidate should have strong experience in the food industry and a good understanding of Raw Materials, Packing Materials, Consumables, Engineering Items, Machinery Parts, and other operational requirements.

Key Responsibilities

Purchase & Procurement

• Manage end-to-end procurement activities for Raw Materials (RM), Packing Materials (PM), Consumables, Machinery Parts, Engineering Items, and other business requirements.
• Identify and develop reliable domestic and international suppliers.
• Obtain and compare competitive quotations from multiple vendors.
• Negotiate price, payment terms, credit period, quality standards, and delivery schedules.
• Prepare and process Purchase Orders (POs) as per approved requirements.
• Ensure timely follow-up with vendors to avoid delays in production or operations.
• Monitor market trends, pricing, availability, and alternative sources to achieve cost efficiency.
• Ensure procurement is carried out within approved budgets and company policies.

Vendor Management

• Develop, evaluate, and maintain a strong vendor base.
• Conduct vendor evaluation based on quality, price, delivery, service, and reliability.
• Maintain long-term relationships with domestic and international suppliers.
• Resolve vendor-related issues concerning quality, quantity, pricing, delivery, and payment terms.
• Continuously identify new vendors and alternative sources to reduce dependency and procurement risk.

Store & Inventory Management

• Manage day-to-day store operations, material receipt, storage, issue, and inventory control.
• Ensure proper documentation for material inward and outward movements.
• Maintain optimum stock levels and avoid overstocking, stock-outs, and material wastage.
• Coordinate with Production, Stores, Quality, Accounts, and other departments for material planning and timely availability.
• Monitor slow-moving, non-moving, obsolete, and excess inventory.
• Ensure proper storage and preservation of materials as per their nature and quality requirements.
• Conduct periodic physical stock verification and reconcile discrepancies.

ERP & Documentation

• Maintain purchase and inventory records through ERP/software systems.
• Generate Purchase Orders, Goods Receipt Notes (GRN), Material Requisitions, and other procurement documents.
• Ensure proper documentation and tracking of purchase orders and deliveries.
• Maintain vendor records, quotations, comparative statements, purchase history, and other procurement-related documentation.
• Coordinate with Accounts for invoice verification, vendor payments, and purchase reconciliation.

Required Skills & Competencies

• Proven experience in Purchase, Procurement & Stores Management, preferably within the Food/FMCG/Manufacturing Industry.
• Strong knowledge of sourcing RM, PM, Consumables, Machinery Parts, Engineering Items, and other operational materials.
• Excellent communication, negotiation, and vendor management skills.
• Strong ability to obtain competitive quotations and negotiate pricing, payment terms, and delivery schedules.
• Experience in vendor development, evaluation, and relationship management.
• Good understanding of inventory planning, stock control, and store management.
• Ability to coordinate effectively with Production, Stores, Quality, Accounts, and Management.
• Working knowledge of ERP systems, Purchase Order generation, inventory management, and procurement documentation.
• Strong analytical and decision-making skills.
• Ability to ensure timely procurement while maintaining quality, cost efficiency, and optimum inventory levels.
• Good leadership and team management skills.

Educational Qualification

• Graduate in any discipline.
• Diploma/Degree in Supply Chain Management, Procurement, Logistics, Materials Management, or related field will be an added advantage.
