Job Description

Key Responsibilities

  • Manage the Managing Director's daily calendar, appointments, meetings, and schedules.
  • Coordinate and organize internal and external meetings, including preparation of agendas and necessary documents.
  • Maintain reminders and ensure timely follow-up on tasks, commitments, meetings, and action points assigned by the MD.
  • Coordinate with various department heads and employees on behalf of the Managing Director and obtain regular status updates.
  • Handle phone calls, emails, correspondence, letters, and other communications for the MD as required.
  • Prepare and maintain reports, presentations, Excel sheets, meeting notes, and other management documents.
  • Record Minutes of Meetings (MoM) and track action items until completion.
  • Arrange business travel, including flight/train bookings, accommodation, transportation, and travel itineraries.
  • Coordinate meetings and communication with clients, bankers, consultants, vendors, government officials, and other external stakeholders.
  • Maintain confidential company and management information with the highest level of discretion.
  • Organize and maintain important documents, records, agreements, correspondence, and digital files.
  • Screen and prioritize appointments, calls, emails, and meeting requests.
  • Assist the MD in monitoring important deadlines and management priorities.
  • Follow up with departments regarding information, reports, approvals, payments, documentation, and other matters requiring MD's attention.
  • Assist in organizing management meetings, conferences, client visits, and company events.
  • Handle additional administrative and coordination responsibilities assigned by the Managing Director.

Candidate Requirements

  • Graduate in any discipline; MBA or relevant postgraduate qualification will be an advantage.
  • Prior experience as a Personal Assistant, Executive Assistant, Secretary, or similar role is preferred.
  • Excellent verbal and written communication skills in English.
  • Good knowledge of MS Office, particularly Excel, Word, PowerPoint, Outlook/Email and Calendar Management.
  • Strong organizational and time-management skills.
  • Excellent follow-up and coordination abilities.
  • Ability to multitask and work under deadlines.
  • Professional appearance and interpersonal skills.
  • High degree of integrity, confidentiality, and discretion.
  • Ability to communicate confidently with senior management and external stakeholders.
