Job Description

We are looking for a proactive and customer-focused Front Desk Executive who will be responsible for managing the reception area while supporting day-to-day administrative operations. The ideal candidate should possess excellent communication skills, a professional demeanor, strong organizational abilities, and experience in office administration.

Key Responsibilities

Front Office Management

  • Manage the front desk and serve as the first point of contact for visitors, clients, and employees.
  • Welcome visitors professionally and ensure adherence to visitor management protocols.
  • Handle incoming calls, emails, and correspondence, directing them to the appropriate departments.
  • Maintain visitor records, issue visitor passes, and coordinate meeting room bookings.
  • Coordinate courier, postal, and dispatch activities.

Administration

  • Oversee daily administrative operations to ensure smooth office functioning.
  • Coordinate housekeeping, pantry, security, and facility services.
  • Maintain office supplies, stationery, pantry stock, and other consumables.
  • Raise purchase requisitions and coordinate with vendors for procurement of office requirements.
  • Manage vendor relationships and monitor service quality for housekeeping, security, transport, and maintenance.
  • Coordinate office maintenance activities and ensure timely resolution of facility-related issues.
  • Support travel bookings, hotel reservations, and logistics for employees and visitors as required.
  • Assist in organizing employee engagement activities, meetings, and company events.
  • Maintain administrative records, contracts, invoices, and documentation.
  • Ensure compliance with office administration policies and safety guidelines.

Coordination & Support

  • Coordinate with internal departments for administrative requirements.
  • Support HR during employee onboarding by arranging workstations, ID cards, and welcome kits.
  • Prepare periodic MIS reports related to administration expenses, vendor performance, and office operations.
  • Handle employee queries related to administration and facilities.

Desired Candidate Profile

  • Bachelor's degree in any discipline.
  • Minimum 4 years of experience in Front Office and Administration.
  • Excellent verbal and written communication skills.
  • Professional appearance and pleasant personality.
  • Strong interpersonal and customer service skills.
  • Good knowledge of MS Office (Excel, Word, PowerPoint, Outlook).
  • Ability to multitask and prioritize work effectively.
  • Strong coordination, vendor management, and organizational skills.
  • Experience in corporate office administration is preferred.
