Position Summary
Vissco Healthcare is looking for a highly organized and detail-oriented Executive Export Documentation to manage end-to-end export documentation and coordinate with internal departments, freight forwarders, banks, customers, and regulatory authorities. The role is critical in ensuring timely execution of export shipments, compliance with international trade regulations, and smooth delivery of orders to global customers.
Key Responsibilities
Export Documentation
- Prepare, verify, and process complete export documentation for international shipments.
- Generate and maintain:
- Commercial Invoice
- Packing List
- Shipping Bill
- Bill of Lading / Airway Bill
- Certificate of Origin
- Free Sale Certificate
- Insurance Certificate
- Inspection Certificate (where applicable)
- Letter of Credit (LC) documentation
- Bank negotiation documents
- Ensure all documents comply with customer, banking, customs, and destination country requirements.
Shipment Coordination
- Coordinate with freight forwarders, CHA (Custom House Agents), shipping lines, airlines, and logistics partners.
- Arrange bookings for sea, air, and courier shipments.
- Monitor shipment schedules and ensure on-time dispatch.
- Track shipments and provide regular updates to international customers and distributors.
Export Compliance
- Ensure compliance with DGFT, Customs, RBI, GST, and applicable export regulations.
- Coordinate documentation required for exports to regulated markets.
- Verify HS Codes, Incoterms, country-specific documentation, and export compliance requirements.
- Maintain export records in accordance with company policies and statutory requirements.
Banking & Commercial Documentation
- Prepare export documentation for Letter of Credit (LC), Documents Against Payment (D/P), Documents Against Acceptance (D/A), and advance payment transactions.
- Coordinate with banks for document negotiation, export realization, and remittance follow-up.
- Monitor receipt of export payments and support finance in reconciliation activities.
Customer & Internal Coordination
- Coordinate with Sales, Production, Planning, Stores, Quality Assurance, Regulatory Affairs, Finance, and Logistics teams to ensure timely order execution.
- Respond to documentation requests from distributors and overseas customers.
- Resolve shipment documentation discrepancies and customer queries promptly.
Documentation Control & Reporting
- Maintain organized records of export documents, shipping records, and customer files.
- Prepare shipment reports, pending order status, export MIS, and documentation trackers.
- Ensure timely filing and retrieval of export records for audits and compliance.
Continuous Improvement
- Identify opportunities to improve documentation accuracy and shipment turnaround time.
- Support implementation of ERP systems and process improvements for export operations.
Qualifications
- Bachelor's degree in Commerce/Business Administration/Logistics/Supply Chain Management/International Business.
- Diploma or certification in Export-Import Management or International Trade will be an added advantage.
Experience
- 2-5 years of experience in export documentation, international logistics, or export operations.
- Experience in the medical devices, pharmaceutical, healthcare, or manufacturing industry is preferred.
Required Skills
- Strong knowledge of export documentation and international trade procedures.
- Good understanding of Incoterms, customs procedures, and international shipping practices.
- Familiarity with Letter of Credit documentation and export banking procedures.
- Excellent organizational skills and attention to detail.
- Strong communication and coordination abilities.
- Ability to manage multiple shipments and prioritize deadlines.
- Proficiency in Microsoft Excel, Word, Outlook, and ERP systems (SAP, Oracle, Tally, or equivalent).
Preferred Knowledge
- DGFT and Indian Customs export procedures.
- GST provisions related to exports.
- RBI guidelines for export documentation and realization.
- Incoterms 2020.
- International freight and logistics operations.
- Documentation requirements for regulated healthcare products.
- ECGC and export insurance procedures.
