Job Description
Manage the executive's calendar scheduling meetings, appointments, and travel, resolving conflicts and
prioritizing time effectively.
- Coordinate domestic and international travel arrangements, including itineraries, visas, accommodation, and
logistics.
- Screen, prioritize, and respond to emails, calls, and correspondence on behalf of the executive.
- Prepare, proofread, and format reports, presentations, and other business documents.
- Organize and coordinate meetings, including agenda preparation, minute-taking, and follow-up on action
items.
- Act as a liaison between the executive and internal departments, external clients, vendors, and stakeholders.
- Handle confidential information with a high degree of discretion and professionalism.
- Manage expense reports, invoices, and basic budget tracking for the executive's office.
- Plan and coordinate internal events, offsites, and leadership meetings.
- Maintain organized filing systems (digital and physical) for documents, contracts, and records.
- Anticipate the executive's needs and proactively resolve scheduling or logistical issues before they arise.
- Support ad hoc projects and cross-functional initiatives as assigned by leadership.
Required Skills & Qualifications
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 36 years of experience as an Executive Assistant, Personal Assistant, or in a senior administrative role,
ideally supporting C-suite or senior management.
- Excellent verbal and written communication skills in English (Hindi/regional language a plus).Role & responsibilities
- Strong proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and collaboration tools (Google
- Workspace, Zoom, Teams).
- • Exceptional organizational skills with strong attention to detail and follow-through.
- • Ability to multitask, prioritize, and work under pressure in a dynamic environment.
- • High level of integrity, discretion, and professionalism in handling sensitive information.
- • Strong interpersonal skills with the ability to interact confidently with senior stakeholders.
- • Proactive, solution-oriented mindset with strong problem-solving ability.
- • Working knowledge of AI tools (e.g., ChatGPT, Microsoft Copilot, Claude) to assist with drafting
- communications, summarizing documents, scheduling, and research.
- Preferred / Good to Have
- • Prior experience supporting founders, CXOs, or senior leadership, ideally in real estate or a similar client-
- facing industry.
- • Experience with travel and expense management tools or project management tools
- • Exposure to basic event management or vendor coordination.
- • Comfort using AI-powered productivity tools to streamline reporting, presentations, and day-to-day admin
