Dispatch - Manager/ Sr. Manager (ERW Tube)

Key Responsibilities

Dispatch Operations

• Manage end-to-end dispatch activities for ERW Tubes, Pipes, and related steel products.
• Ensure timely dispatches as per sales orders, customer delivery schedules, and production plans.
• Coordinate daily with Production, PPC, Quality, Stores, and Sales & Marketing departments for seamless dispatch execution.
• Monitor vehicle placement, loading schedules, dispatch planning, and delivery timelines.
• Ensure FIFO/FEFO practices wherever applicable.

Logistics & Transportation

• Develop and manage transportation networks for domestic customers.
• Coordinate with transporters to ensure on-time vehicle availability.
• Optimize freight costs through route planning and transporter negotiations.
• Monitor vehicle turnaround time and loading/unloading efficiency.
• Resolve logistics issues affecting customer deliveries.

Documentation & Compliance

• Ensure accurate preparation of:
• Tax Invoice
• E-Way Bill
• Delivery Challan
• LR (Lorry Receipt)
• Packing List
• Test Certificates (where applicable)
• Ensure compliance with GST, road transport regulations, and company policies.
• Maintain complete dispatch documentation and audit records.

Inventory & Warehouse Coordination

• Coordinate with Stores and Warehouse for finished goods availability.
• Ensure physical stock matches ERP records.
• Monitor dispatch-related inventory accuracy.
• Minimize handling damage and material losses.

Customer Coordination

• Coordinate with customers regarding dispatch schedules and delivery commitments.
• Address delivery-related issues and customer complaints promptly.
• Track deliveries until receipt at customer locations.

Team Management

• Lead and develop the dispatch team, supervisors, and logistics coordinators.
• Allocate responsibilities and monitor team performance.
• Conduct regular training on safety, documentation, and dispatch procedures.

Cost Control

• Monitor freight expenses and logistics budgets.
• Identify opportunities for transportation optimization and cost reduction.
• Improve vehicle utilization and loading efficiency.

MIS & Reporting

• Prepare daily, weekly, and monthly reports covering:
• Dispatch performance
• Pending orders
• Freight costs
• Vehicle turnaround time
• Customer delivery performance
• Logistics KPIs
• Analyze data and recommend process improvements.

Safety & Compliance

• Ensure safe loading and dispatch practices.
• Maintain compliance with EHS standards.
• Conduct periodic audits of dispatch operations.

Required Skills

• Strong knowledge of dispatch operations in steel or tube manufacturing.
• Experience in logistics planning and transporter management.
• Working knowledge of GST, E-Way Bill, and transport documentation.
• ERP knowledge (SAP, Oracle, Microsoft Dynamics, or equivalent).
• Advanced MS Excel and reporting skills.
• Strong analytical and problem-solving ability.
• Leadership and people management skills.
• Excellent coordination and communication abilities.
• Ability to work under pressure and meet dispatch deadlines.
