About the Role

We are looking for an Associate Program Manager who can bring execution discipline to MentorUnion's expanding mentorship ecosystem. As the platform scales across programmes, mentors, learners, and internal teams, this role will ensure that daily operations, stakeholder follow-ups, support requests, invoices, events, and open loops are tracked and closed with speed and accuracy.

This is a hands-on operating role for someone who can stay close to the details, manage multiple moving parts, and keep the mentorship engine running smoothly.

Specifically, this role will involve

  • Managing daily mentor-mentee operations across bookings, support, follow-ups, invoices, and closures.
  • Driving mentor outreach across new domains, industries, geographies, and mentee demand areas.
  • Owning outreach cadences from cold emails to follow-ups, calls, onboarding, agreements, and profile activation.
  • Maintaining trackers for mentor supply, mentee demand, outreach, onboarding, events, and pending items.
  • Coordinating with product, tech, design, finance, quality, programme, and support teams to close open loops.
  • Tracking demand-supply gaps across domains, agendas, proficiencies, industries, and learner requirements.
  • Supporting mentor invitations, confirmations, logistics, and closures for campus events and mentee initiatives.
  • Managing mentor and mentee queries with clarity, warmth, and timely resolution.
  • Capturing recurring feedback and convert it into product and/or process improvements.
  • Building operating reports on call volume, mentor activity, no-shows, cancellations, and risks.

Ideal candidate will have

  • Prior experience in operations, program management, client success, edtech, SaaS, or marketplace operations.
  • Strong hands-on ability with Google Sheets/Excel, trackers, pivots, filters, and basic reporting.
  • Clear written and verbal communication with strong follow-through.
  • Ability to manage multiple workflows without losing accuracy or timelines.
  • Comfort working across internal teams and chasing closures without repeated reminders.
  • High attention to detail across data, invoices, documents, profiles, and communication.
  • Calm and structured approach to support issues, feedback, and escalations.
  • Bonus: Exposure to CRM tools, admin panels, SaaS platforms, or community-led products.
