Role Summary
The Associate will be responsible for managing the end-to-end financial operations of the Siemens Scholarship Program with a primary focus on scholar reimbursement processing, financial verification, audit coordination, and payment execution. The role requires close coordination with scholars, internal audit, finance, vendors, and project teams to ensure timely, accurate, and compliant scholarship disbursements.
Key Responsibilities
- Coordinate with scholars to collect fee receipts, reimbursement documents, bank details, and supporting financial records.
- Verify fee receipts and reimbursement claims against program guidelines and eligibility criteria.
- Calculate scholarship entitlement and reimbursement amounts accurately as per approved policy.
- Prepare reimbursement and scholarship calculation sheets with complete supporting documentation.
- Coordinate with the Internal Audit team, resolve observations, and obtain audit clearance before disbursement.
- Work closely with the Finance team to ensure timely scholarship disbursement and maintain payment trackers.
- Coordinate with vendors for invoice submission, verification, approvals, and payment processing.
- Maintain accurate MIS, reimbursement trackers, audit records, payment status reports, and document repositories.
- Respond to scholar queries related to reimbursement, documentation, and payment status.
- Support project managers during audits and prepare reports required by internal and external stakeholders.
- Ensure adherence to SOPs, financial controls, compliance requirements, and data confidentiality.
Required Skills
- Strong attention to detail and analytical ability.
- Good understanding of financial documentation and reconciliation.
- Excellent MS Excel skills (formulas, lookup functions, data validation, pivot tables preferred).
- Good written and verbal communication.
- Ability to coordinate with multiple stakeholders and manage timelines.
- High level of integrity and confidentiality.
Qualifications
- Bachelor's degree in Commerce, Finance, Business Administration, or a related field.
- 13 years of experience in finance operations, reimbursement processing, accounts, audit coordination, scholarship operations, or program administration.
